Vermont wedding rentals: what your venue fee already includes
Build a wedding rental order from the approved room plan and the venue’s actual inventory. Mansfield Barn lists tables and ceremony/reception chairs for up to 200, cocktail tables and a covered catering area. Those inclusions should be counted before ordering replacements, duplicates or furniture for a separate ceremony setup.
Linen diameter depends on table size and intended drop
Take a hypothetical 60-inch round table standing 30 inches high; a floor-length round cloth has a 120-inch diameter: 60 + 2 × 30. A 108-inch cloth on the same table drops 24 inches on each side, leaving six inches above the floor. These are geometry examples, not a supplier’s clearance or seating approval.
Count meal tables, service tables, ceremony seats and spare items separately. A hypothetical 120 diners at eight per approved table require 15 tables; at ten per table the count is 12, but that seating arrangement needs actual approval. Agree delivery, setup, collection, cleaning and loss charges with the rental company.

One question changes a Vermont wedding rentals budget more than any other: does your venue fee already include the furniture? Twelve venues answer it plainly, in three different ways. The Inn at the Round Barn Farm states its facility fee covers twenty dining tables, six cocktail tables, ceremony chairs, two hundred Chiavari chairs and dishware.
Almost nothing there needs renting. Stowe Mountain Resort's published package starts at $6,500 and itemizes ceremony chairs, dining and cocktail tables, linens, china and a dance floor as included.
Which Vermont venues state an outside-vendor rule
- The Wildflower Inn
- A VAWP-affiliated planner is required for any celebration over 50 guests.
- Hotel Champlain
- Permitted if they meet insurance and property standards; preferred AV vendor for in-house events.
- Spirit of Ethan Allen
- Outside DJs and bands are welcome; outside food is not.
Does the venue fee include tables, chairs and linens, or is every piece rented separately?
The Round Barn, Stowe Mountain Resort, Mount Snow, Okemo, Sleepy Hollow, Retreat Farm, the Old Gray Barn, the Grafton Inn and the Barn at Top of The World each publish a real included list; most venues here publish nothing, which does not mean the answer is no. It means it is unasked.
If a tent is needed, does the venue have a preferred or exclusive rental company?
Basin Harbor names this as the couple's own arrangement. At other venues a preferred vendor can mean a required one, which changes your quote before you request it.
Who is responsible for tent permits and staking on the venue's own property?; A barn or lawn venue on private land may require the rental company to coordinate directly with the venue for utility staking, not with you.
What is the load-in and strike window, and does it affect the rental company's fee?; A narrow window between your ceremony and someone else's event the same weekend is a rental-company cost, not just a scheduling detail.
Does the included furniture list match your actual guest count?
An included chair count is sized to a stated capacity. Confirm it covers your list before assuming the fee is truly all-in.
What does tent rental pricing look like for a Vermont wedding?
There is no standard rental price list: it varies by tent size, flooring and how far the company drives to a rural venue. What is verifiable here is which venues need one at all: Basin Harbor states outright that couples bring their own tent company, which tells you the tent itself is on you there.
What is the best time to buy or rent a tent?
As soon as your venue confirms whether it has a preferred or exclusive tent company: asking that question first, not shopping rental companies before the venue answers it, is what saves time here.
Where should we buy a guest book for the wedding?
A guest book is a small personal purchase rather than a venue or contract decision, and nothing about it turns on a Vermont-specific rule.
Wedding tables, chairs and linens in Vermont
Tables, chairs and linens are the part of a wedding quote that is pure arithmetic, and the place where the arithmetic most often goes wrong. Start with the guest count and the table shape. A 60-inch round table seats eight comfortably.
A 72-inch round seats ten. A rectangular table gets a different count every time. Add a head or sweetheart table, a cake table, a gift table and cocktail tables for the hour before dinner.
Then add chairs for the ceremony, which is a separate count from the dinner. Most rental bills grow at this step. Eleven Vermont venues state that the fee already includes furniture.
Everyone else leaves you to rent it, and the amount depends on who you ask.
Wedding tables and chairs: the arithmetic behind the count
Divide the guest count by the seats per table and round up. A hundred and twenty guests at ten to a table is twelve tables.
At eight to a table it is fifteen. That single choice changes the room, the linen order and the centerpiece budget.
The seating and tables calculator does this with your own numbers, including spare chairs and the extra tables most couples forget.
Linen sizes for round and rectangular wedding tables
A cloth that reaches the floor is arithmetic too. A round table drops about thirty inches on each side, so a 60-inch round needs a 120-inch round cloth and a 72-inch round needs a 132-inch one. Ask the rental company for its own sizing chart, since the drop varies.
Runners, napkins and overlays are separate lines. So are cloths for cocktail tables. Count them once, from the floor plan, before you compare quotes.
Which Vermont venues include tables and chairs in the fee
The Inn at the Round Barn Farm states twenty dining tables, six cocktail tables, ceremony chairs and two hundred Chiavari chairs in its facility fee. Stowe Mountain Resort's package starts at $6,500 and names ceremony chairs, dining tables and chairs, display and cocktail tables, standard linens, china and stemware.
Mount Snow's package starts at $5,000 and Okemo's at $3,500, with a near-identical list. Sleepy Hollow, Retreat Farm, the Old Gray Barn, the Grafton Inn and the Barn at Top of The World include their own tables and chairs.

Questions to ask about tables & chairs, and what each answer decides.
What table sizes and shapes do you stock, and how many does each seat?
Seats per table depends on the size and on how much room each place is given. Get the rental company's own figures.
Are the chairs for the ceremony and the dinner the same chairs?
Moving them between the lawn and the tent takes staff and time. Some companies charge for the second setup.
Is delivery, setup and pickup in the price?
Rural Vermont delivery adds distance. Request it as its own line.
What is the damage and loss policy?
Rental companies bill for stained linen and broken glass. Know the rule before the night.
Can we see the linen in the actual color, in daylight?
Screens change color. A swatch at the venue is the check.
How much floor space does this table plan need?
A tent or barn floor has a fixed area. A layout that fits on paper may not fit the dance floor.
What is the cancellation and reduction rule if the guest count falls?
Some companies lock the order early. Find out when you can still reduce it.
