Contract
Vermont wedding vendor contracts: what to get in writing
Put the wedding supplier’s actual services, date, location, hours, price, payment schedule and cancellation terms in writing. Identify the performer or substitution process where the individual matters. Venue access, outside-supplier permissions and insurance requirements should be checked against the same agreement before a deposit is paid.
A deposit label does not describe every remedy
Mansfield’s published $500 discount requires full payment within three weeks; DJ Rome 802 lists a $200 nonrefundable deposit. Those are different supplier-specific payment arrangements. Compare the amount at risk and the actual cancellation, rescheduling and supplier-nonperformance wording rather than treating every deposit as the same product.
Consider a six-hour agreement with an assumed $150 hourly extension rate: two approved extra hours add $300 before any applicable charges. It does not override a venue’s music finish or mean the supplier must extend. The Vermont Attorney General’s Consumer Assistance Program provides a route for consumer questions and disputes; obtain qualified advice for terms you do not understand.

A vendor contract is where a verbal promise becomes a date, a fee and a remedy. Six items belong in every one. The date, the hours and the place.
The total price, with tax and travel as their own lines. The deposit and the payment schedule. What happens if you cancel, and what happens if they do.
What happens if the person you hired cannot come, and who replaces them. And any rule the venue attaches, since some venues require insurance from every vendor. The Barn at Boyden Farm lists event insurance and a damage deposit among its booking conditions, and the Inn at the Round Barn Farm states a deposit of fifty percent of the facility fee plus a non-refundable $2,000.
This is general guidance, not legal advice.
The terms every Vermont wedding vendor contract should state
The date, the start and end times, and the place, including the exact address of the entrance.
The total price, with tax, service charge and travel each on its own line.
The deposit amount, when it is due, and whether any part is non-refundable.
The cancellation terms for both sides, and the refund schedule
A named substitute or a named process if the vendor cannot attend.
The overtime rate, in case the timeline runs long
The vendor's insurance, and whether the venue needs a certificate
Deposits and refunds: what two Vermont venues state
The Inn at the Round Barn Farm states that fifty percent of the facility fee plus a non-refundable $2,000 is required as a deposit. The Barn at Boyden Farm lists a damage deposit and event insurance for all weddings among its booking conditions. See wedding insurance.
No other venue states its deposit terms on its own site. Ask for the full schedule before you sign.

Cancellation, force majeure and moving a Vermont wedding date
Ask what happens to your deposit if you move the date, and what happens if weather or an emergency closes the venue. The wording of the cancellation clause decides.
A contract clause is not the same as a policy. Read the whole document, and ask a lawyer if something is unclear.
Venue rules that flow down to your Vermont wedding vendors
Some venues require every vendor to carry insurance or to be on an approved list. Others require a planner above a certain guest count: the Wildflower Inn does for any celebration over fifty guests. Ask your venue for the list before you sign with anyone.
Vendors also need to know the venue's end time and load-in window. Write both into the contract. See vendors for the questions per category.
What is force majeure?
A clause covering events outside anyone's control, such as severe weather or an emergency. Read what your contract says it covers.
Do I need a lawyer to read a vendor contract?
Not always. If a term is unclear or the sums are large, ask one.
How do I compare two vendor contracts?
Ask both vendors for the same itemisation, then lay the two side by side: hours, price, deposit, cancellation, substitution and overtime. See vendors for the questions per category.
What is a certificate of insurance?
Proof that a vendor carries liability coverage, issued by the vendor's insurer. Some venues require one from every vendor working on site, so ask your venue and pass the request along to each vendor.
How do I handle an overtime charge?
Ask the hourly rate and the trigger in advance, and write both into the contract. A timeline that runs long is common, and an unstated rate turns into a dispute at the end of the night.
Can a deposit be non-refundable?
Yes. The Round Barn states a $2,000 non-refundable amount as part of its deposit. Ask each vendor.
Who signs the contract if a planner is involved?
You do, unless the planner is authorized in writing to sign for you. Ask the planner which vendors it contracts with directly and which contract with you, and read each contract yourself.
Should a contract name the individual?
Yes, where the person matters, such as a photographer. Ask for a named substitute if they cannot attend.
What if the contract is silent on weather?
Ask the vendor to add a clause. A silent contract leaves open who decides on a wet day, who bears the cost of a move, and whether any part of the deposit comes back.
