Wedding seating and tables calculator
Enter dinner guests, head-table guests, approved seats per guest table and spare chairs. The calculator rounds the guest-table count upward, distributes those guests evenly and adds entered spare chairs. Round-table cloth diameter is table diameter plus twice the drop. The calculation does not approve seating density or fit tables into the venue’s floor plan.

Check the sample seating split
With 118 dinner guests and two at the head table, 116 remain. At ten approved seats per table, twelve guest tables are needed: eight tables of ten and four of nine.
Adding four spare chairs gives 122 dinner chairs. A 60-inch table with a 30-inch drop needs a 120-inch round cloth.
| Line | Result |
|---|---|
| Guests at guest tables | 116 |
| Guest tables needed | 12 |
| Even split | 8 tables of 10 and 4 tables of 9 |
| Chairs for dinner, with spares | 122 |
| Cloth to the floor on a 60-inch round | 120 inches |
A seating plan is arithmetic, and this calculator does the arithmetic. Give it a guest count and the number of seats per table. It returns the number of tables, an even split that avoids one nearly empty table, the chairs you need with any spares you add, and the size of cloth that reaches the floor on a round table.
The result does not tell you how many seats a table holds. That depends on the table and how much room each place gets, so the rental company's figure is the one to use. It does not add cocktail, gift or cake tables either, because those depend on your plan.
The arithmetic counts what you enter and shows its working.
- Worked example: seating and tables
- For 118 guests with 2 at a head table, 10 seats per guest table and 4 spare chairs:.
116 guests at 10 a table needs 12 tables, and seating them evenly avoids a last table with only 6 people at it. The cloth is the table's diameter plus the drop on each side. Cocktail, gift and cake tables are not counted, since they depend on your plan.
How the seating and tables works, and its limits
The calculator subtracts the head table from the guest count, divides by the seats per table, and rounds up. It then spreads the guests evenly across those tables so no table is left nearly empty, adds your spare chairs to the total, and works out a floor-length cloth as the table diameter plus the drop on each side.
What it does not do
It does not decide how many seats a table holds. That depends on the table and how much room each place gets, and the rental company's own figure is the right input. It does not count cocktail, gift or cake tables, which depend on your plan.
Wedding seating calculator: tables, chairs and linen size: limits
The cloth size is arithmetic with the drop you enter. Rental companies publish their own sizing charts, and theirs governs the order.
How many people sit at a round table?
It depends on the table size and the space each place gets. Rental companies publish their own figures, and the calculator uses whatever you enter.
Should I order extra chairs?
Many couples add a few spares. Enter the number in the spares box and the chair total updates.
What does an even split mean?
Spreading guests across the tables to avoid one nearly empty table. For 118 guests on twelve tables, that is a mix of nine and ten.
Does the head table count as a guest table?
Not here. Enter the number of guests at the head table separately and they are taken out of the guest-table count.
Are ceremony chairs the same count as dinner chairs?
Often the same, but not always. Some guests attend the ceremony and not the dinner. Count them separately if that applies.
Do rectangular tables work with this?
Yes. Enter the seats per rectangular table from the rental company. The cloth line applies to round tables only.
Does the tent or barn have room for that many tables?
The calculator does not know your floor area. Send the table count to the tent or venue and ask for a layout.
Is my data sent anywhere?
No. Nothing you type leaves your browser. The calculation runs on your own device, and the page works the same with scripting off, since it shows a full worked example first.
